Hotel Exchange Doc link & FAQ

What's this forum for?

During hotel day some people end up with extra rooms while others end up with no rooms or rooms really really far away.  With this forum and spreadsheet we can balance out the people who have too many rooms and the people who have none (or are stuck somewhere they really don't want to be).

Where is this spreadsheet?

  This spreadsheet is viewable and editable by anyone who has the link. You need to be a member of the forum to see the link. With that in mind, be cautious about personal information.

How do I use the spreadsheet?

There are three tabs located in the bottom left.  One is labeled "offering."  This is where you post your extra rooms that you'd like to give away.  One is titled "needing," which is where you would post if you get unlucky in hotel sales.  The third is called "trading."  This is where you go if you have a room, but would be willing to trade for something else.  The columns are pretty straight forward.  Tell us what you want/what you have and let it go from there.  If you want to include additional information put it in the "notes" column.

It is important that once you get a room/give away your room that you DELETE YOUR ENTRY.  This is helpful so that we all know how many rooms are left and how many people are still in need.  Unlike badge sales, a lot of communication might be getting done behind the scenes.  We might not have any way of knowing that you're taken care of so if you could take responsibility for your own entry that'd be great.  Thanks! :)

How do I contact someone from the GoogleDoc?

You have their screen name so feel free to give them a PM unless otherwise indicated in the notes.  If you leave any personal contact information in the notes section please be aware that this is an open spreadsheet viewable to anyone that has a link.  If you're fine with your phone number or email address hanging out in the open like that, go for it.  If you're a bit more sensitive about your personal information wait until PMs to trade that info if you bother trading it at all.  If this link stays on the forums we should all have an account and it should be relatively easy to get in contact with each other.

Great, I've made a deal with someone.  Now what?

If you swap before you put down the deposit you should be able to change the information over to the other person yourself.  If done outside of the designated time period you will need to contact Travel Planners and switch it over to the other person's name.

In the event of an emergency we'll be locking the doc down.

We'll need folks to put all their info into one post in a thread that will be started.  One of the moderators/managers will take that info & enter it into the doc.

This will only go into effect if we've seen evidence of tampering with the google doc. We do not expect to have to implement this plan but will in the event of a problem.
